The Operations Associate/Manager will assist the VP of Operations in ensuring seamless day-to-day operations, with a specific focus on process optimization, vendor and supplier management, and operational reporting. This role will require excellent organizational skills, attention to detail, and the ability to manage various cross-functional responsibilities.
Main Duties & Responsibilities
Operational Support: Assist the VP of Operations in daily operational tasks, ensuring that all processes run smoothly and efficiently.
Project Coordination: Help coordinate between cross-functional teams, track project milestones, and maintain timelines to ensure successful project delivery.
Time Sheets and Tracking Tools: Own and manage employee time sheets and tracking tools, ensuring accurate and timely submission across departments.
Supplier and Vendor Management: Manage relationships with vendors and suppliers, including negotiating contracts, and ensuring timely payments.
Office Space Management: Oversee office space needs, including managing resources, supplies, and ensuring a well-organized and functional workspace.
Liaison with HR: Work closely with HR to facilitate the onboarding process, training, and continuous support of employees within the operations team.
Dashboard and Reporting: Prepare and maintain operational dashboards and reports, providing regular updates and insights on key performance metrics to the VP of Operations and senior management.
Event Management: Plan and coordinate company events, workshops, and team-building activities to foster a positive work environment.
Process Improvement: Identify areas for operational improvement, implement best practices, and support the VP of Operations in refining and optimizing workflows.
Job Qualifications
Experience: 3+ years in an operations or administrative role, preferably in the software or IT sector.
Technical Knowledge: Basic understanding of project management tools and tracking software.
Detail-Oriented: High attention to detail and organizational skills.
Interpersonal Skills: Excellent communication and interpersonal skills to effectively work with vendors, team members, and clients.
Problem-Solving: Strong analytical and problem-solving abilities.
Proactive: A proactive approach to identifying issues and improving processes.
Event Coordination: Experience in organizing and managing events, a plus.
